Ocean Air PTA Room Parent Guidelines 2015-2016

Thank you for volunteering to serve as the room parent for your child’s classroom. The time you spend in this capacity is greatly appreciated by the teacher, students and other classroom parents.

A room parent is a parent or guardian who provides essential help to teachers in organizing special activities inside and outside the classroom setting.

Room Parent responsibilities include:

  • Meeting with the teacher to discuss his/her needs for upcoming activities
  • Organizing volunteers for class and school events
  • Communicating with parents
  • Coordinating the collection of food and supplies for classroom parties and events, Jog-a-thon, Staff Appreciation Week, Carnival, and Field Day.

At the beginning of the school year, please schedule a meeting with your child’s teacher to discuss ways you can support him or her. This is a great time to get to know each other and for you to gain an understanding of what special activities are envisioned for the year and what your role will be. (See attached Teacher Questionnaire).

After that meeting, it is a good idea to send an email or letter home to the other parents introducing yourself as the room parent. You could include the events schedule and possibly a questionnaire on how other parents prefer to help. (See attached Sample Parent Letter). If there are multiple room parents for your class, it is always helpful to pick one person to serve as liaison to the teacher to simplify communications.

Communication
Please do not use the list of parent emails from each class to send PTA or school reminders, unless PTA Room Parent Liaison Patel Rosen, teardrop-75@msn.com, informs you to do so. Emails are to be sent to communicate classroom parties, needs, or events only. To protect the privacy of others, please use the “BCC” function, so as to hide the email accounts of others. School email addresses are not to be used for solicitations or to express personal points of view.

Guidelines for Collection of Funds

Classroom Parties
Room Parents will no longer collect class funds from any family at the beginning of the year. There is significant variation as to the types of parties held in each class. Please meet with the teacher to plan the activities for the year. You will want to determine the number of volunteers and what food and supplies are needed. Volunteer Spot and Shutterfly are useful websites where classroom families can go to sign up to bring in food or supplies, www.volunteerspot.com or www.shutterfly.com. The success of these events relies on encouraging families to bring in what is needed.

Ocean Air is trying to focus on nutrition per the District Wellness Policy. Please visit the District website, www.dmusd.org, for more information. Decide with your teacher what healthy party snacks might be appropriate and always ask about food allergies in the class.

Class Gifts
As funds will no longer be collected for a class gift, families are encouraged to purchase their own holiday / end of year gifts for their teachers. Families may go in on a gift together if they desire, so long as the money collection is handled off campus.

If families purchase a “group gift”, please be sensitive and realize that families have various financial limitations. We would ask that families not be excluded from a gift based on their level of contribution.

Yearbook Photos
Many teachers have a parent volunteer assigned as a class photographer. This volunteer is responsible for taking photos during classroom parties/activities and submitting them to the yearbook. Parents are also encouraged to take photos to submit for the yearbook. Room parents are responsible for communicating with the class photographer and/or parents regarding the submission of photographs and providing the yearbook coordinator’s email address. For photos of class events for the yearbook, please use a flash drive or CD and place items in an envelope in the PTA mailbox. Please label with your name and email, your student’s name and the title of the activity/class/grade. All students in each photogragh must be identified by name. Our yearbook coordinator this year is Christina Small. Photos and questions may also be submitted to Christina.small@gmail.com.
